2. GDPR Privacy Policy (AVG)
Legal Basis for Processing (Art. 6 GDPR)
Data processing is strictly based on the Performance of a Contract (to build and maintain your academic platform) and Legitimate Interest (to ensure site security and infrastructural integrity).
Data Collection & Purpose
We process two categories of data:
- Direct Data: Information provided voluntarily via the Positioning Intake, including your Name, Email, CV, and ORCID iD. This is used solely to construct your platform.
- Indirect Data: Public metadata fetched dynamically from Open-Science APIs (e.g., ORCID, OpenAlex) to automatically synchronize your publication records.
Retention Policy
Positioning Intake data and uploaded CVs are utilized exclusively for the 14-day build and are permanently purged from our primary systems within 30 days post-launch.
Rights of the Data Subject
Under the GDPR, you retain absolute authority over your personal data. You have the right to:
- Access the data we hold about you.
- Rectification of incorrect or incomplete data.
- Erasure ("Right to be Forgotten") of your personal data.
- Data Portability to receive your data in a structured, commonly used format.
To exercise these rights, contact info@academicprofiler.com. You also maintain the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
No Tracking & Analytics
We use privacy-first, cookie-less analytics (e.g., Plausible/Fathom). We do not use tracking cookies, we do not monitor individual user behavior, and we never aggregate personal data for third-party advertising.
3. Terms of Service
Absolute Data Ownership
You retain 100% intellectual property rights, content ownership, and domain ownership. AcademicProfiler acts strictly as an Infrastructural Partner, never as an owner of your research or digital identity.
Scope of Service: The 24-Month Managed Plan
All core packages include a 24-Month Managed Plan, covering:
- Domain registration and DNS management via Cloudflare.
- Continuous hosting via GitHub Pages.
- Monthly automated ORCID synchronization.
Renewal & Portability
Following the initial 24-month period, the Managed Plan renews at €195/year (excl. VAT). You have the unrestricted right to "port" (move) your domain and source code to another provider at any time, with zero exit fees.
Payment Terms
Projects commence with a 30% non-refundable deposit required to secure the 14-day sprint slot. The remaining 70% is invoiced post-launch, following the completion of the revision round.
